Add a Folder to the Desktop
You can add a Folder to the Desktop to provide a quick way of opening
several files that you work with often. The nice feature about Folders is that
you can place files in it from several different software applications. Notice
that I said several different software applications.
For example:
you can place a file from
Excel, a file from Word, or a file from Access in a folder. You can even place a
Lotus file or a Lotus Word file in a folder. Almost any file from any software
application can go into a Folder.
You can place as many files as you
want in a folder. Files stored in this folder could be considered "Your
Favorites," because you use them quite often. This is a quick and easy way
to store, edit, and find files.
Files stored in a Folder can be deleted at any time. This does not delete the
file from your system because that file is also stored in the "My
Documents" Folder. As you edit files in your Favorites Folder a copy of
that files is updated in the "My Documents" Folder.
Here's how to make a folder:
Starting from your desktop,
- Click the start button, click on programs, then click on Windows Explorer.
The Explorer Window opens.
- From the Menu Bar click on File, a drop down menu appears, place the mouse
on "New." "New" will be highlighted and a new drop down
menu appears on the right.
- Click on the Folder Icon. A new Folder appears in the right hand screen.
The New Folder will be highlighted. While the folder is highlighted you can
rename the folder.
- Let's rename the folder "My Favorites." Begin to type My
Favorites. When you have completed the typing, hit the enter key on the
keyboard. The Folder is now renamed. You can give the folder any name you
want.
- The next step is to place the folder on the Desktop. Place the mouse on
the Folder, push down on the left mouse button and hold it. While holding
down the left mouse button drag the Folder to the desktop, and place the
Folder in the desired spot. Release the mouse button. The "My
Favorites" Folder is now on the Desktop. You are now ready to add files
to the Folder.
How to Add Files to "My Favorites" Folder
- Assuming that the Windows Explorer is still open, look for
the box titled "Folders" on the left side of the screen. Look for
a Folder titled "My Documents." This folder stores your software
application files such as Word, Lotus, Excel.
- Click on the "My Documents" Folder to highlight it. All the
files stored in "My Documents" will appear in the box on the right
side of your screen.
- Select a file name that you would like to place in the "My
Favorites" Folder by clicking on it. The file is now highlighted.
- Place the mouse on the Windows Explorer Icon Bar and click once on the
Copy button.
- Now place the mouse on the "My Favorites" Folder you just placed
on the Desktop, and click the left mouse button once to highlight the
folder.
- With the mouse pointer located on the "My Favorites" Folder,
Click the right mouse button. A Menu dialog box appears.
- Select Paste from the menu and left click. The file is now pasted in the
Folder.
- Place the mouse on the "My Favorites" folder and double click on
it. The folder is now open and you will see the file you just copied to the
folder.
- Double click on the file to open it. The file is now open and is ready to
edit.
- To place additional files to the folder, repeat steps 2 through seven.
Hint! Since you did a copy and paste of files from "My
Documents" to the "My Favorites" Folder, an original copy of the
file still remain in "My Documents." As you work on and edit files in
the "My Favorites" Folder, the files in the "My Documents"
Folder are automatically updated.
Hint! If there is a file in the "My Favorites" Folder you no longer
use, but you want to keep the file, you can delete it from the folder. Remember
there is still a copy in the "My Documents" Folder.
- To delete a file from the "My Favorites" Folder, double click
the mouse on the folder to open it. Left click the mouse on the file you
want to delete to highlight it.
- With the mouse on the file, click the right mouse button and a menu
appears.
- From the Menu, click on Delete. The file is deleted from the folder, but
it is not deleted from "My Documents."
